A/R Follow-Up & Legacy A/R Takeover

FZ Digital Solutions provides insurance A/R follow-up as part of our managed medical billing and RCM service for U.S. healthcare providers. We prioritize outstanding claims by age, payer, balance, status and deadlines, follow up with payers until there's a decision or a clear next action, and keep documented payer follow-up records, with reference details where available. When you switch to us, we also take over your legacy A/R during onboarding, with an inventory and a written work plan.

What A/R and A/R aging mean

Accounts receivable (A/R) is the money owed to your practice for services that have been billed but not yet paid. In medical billing, insurance A/R is the amount still outstanding from payers.

A/R aging shows how long those balances have been outstanding. An aging report groups unpaid claims by time since billing, so you can see where money is stuck and which claims need attention first.

A/R aging is included in the reporting we provide, at the frequency agreed for your engagement.

How we prioritize outstanding claims

Not every unpaid claim needs the same attention at the same time. We work A/R in a deliberate order.

Age, payer, balance and status

Claims are prioritized by how long they've been outstanding, which payer is involved, the balance or value at stake, and where each claim stands, including whether it has been denied.

Filing and appeal deadlines

Payer filing and appeal deadlines are part of how we prioritize, so claims close to a deadline get attention before the window closes.

High-dollar claims

Where appropriate, high-dollar outstanding claims are identified and prioritized separately.

We also weigh actionability: claims where a clear next step can move the claim forward are worked accordingly.

Following up with payers

Pending and in-process claims

We follow up on pending and in-process claims at appropriate intervals until there's a payer decision or a clear next action. Follow-up timing depends on the claim and the payer, not a one-size-fits-all schedule.

Documented payer calls

Payer calls are documented with the representative or reference information, date, status and relevant notes where available, so there's a record of what was said and what happens next.

When follow-up uncovers a denial

If follow-up shows a claim has been denied, it moves into our denial workflow: the payer's reason is reviewed and the appropriate corrected claim, reconsideration, appeal or other action is pursued. Learn more about denial management & appeals.

Payers make payment decisions. We follow up consistently and document the work, but payment outcomes are never guaranteed.

Taking over legacy A/R

When transitioning billing providers, outstanding claims and legacy A/R need careful review and a documented work plan.

Inventory during onboarding

During onboarding, we identify and inventory your old claims, denials, appeals and outstanding A/R, and develop a work plan for them.

Assessment, not automatic write-offs

Older claims are evaluated against payer rules, filing limits, appeal rights, claim status and documentation, rather than automatically written off. That way, each claim is reviewed before any decision is made about it.

Working with your previous billing provider

Where needed, we coordinate reports, access and information about outstanding work with your previous billing company or internal billing team.

Recovery of older balances depends on payer rules, filing limits and the facts of each claim, and is never guaranteed.

A/R reporting and reviews

A/R reporting is set up for your engagement. Reporting can be set up daily, weekly, monthly, quarterly, half-yearly or yearly, depending on your engagement, and covers A/R aging alongside collections, submitted claims, denials, appeals and patient balances. We track the measures that matter to your practice, including A/R aging, and discuss them with you in periodic performance reviews.

Your assigned manager is your primary contact, and difficult claims or payer issues follow a clear escalation path from biller to manager or senior team, and to your practice when needed.

Patient balances are handled through our separate patient billing workflow (statements, payment plans and billing inquiries) as part of the managed billing service.

Frequently asked questions

What is A/R follow-up in medical billing?

A/R follow-up is the work of tracking unpaid insurance claims, contacting payers about claim status, and taking the next action needed to resolve each claim. At FZ Digital Solutions, it's part of our managed medical billing and RCM service.

What does A/R stand for in healthcare billing?

A/R stands for accounts receivable: the money owed to a practice for services billed but not yet paid.

What is an A/R aging report?

An A/R aging report groups unpaid balances by how long they've been outstanding, so a practice can see which claims are oldest and where follow-up is needed. A/R aging is included in our reporting.

How do you decide which claims to work first?

We prioritize by age, payer, balance or value, claim and denial status, filing and appeal deadlines, and actionability, and separately identify high-dollar claims where appropriate.

Can you take over A/R from our previous billing company?

Yes, as part of onboarding. We inventory old claims, denials, appeals and outstanding A/R, build a work plan, and where needed coordinate reports, access and outstanding work with your previous billing company or internal team.

Will you write off our old claims?

Not automatically. Older claims are assessed against payer rules, filing limits, appeal rights, claim status and documentation before any decision is made.

How often will we get A/R reports?

Reporting can be daily, weekly, monthly, quarterly, half-yearly or yearly. The frequency is agreed for your engagement.

Can you guarantee how much old A/R you'll collect?

No. Payers decide payment, and recovery depends on filing limits, appeal rights and the details of each claim. We never guarantee recovery amounts.
