How We Work With Your Practice

FZ Digital Solutions delivers medical billing and revenue cycle management as a human-managed service for U.S. healthcare providers. Each practice gets workflows configured around its specialty, payer mix, systems and requirements; an assigned manager as its primary contact; internal quality review; and reporting on a schedule agreed for the engagement. AI tools are optional, and our billing service can be delivered entirely by people.

A human-managed delivery model

Your billing is handled by our medical billing team, not by an automated system working on its own. People review claims, follow up with payers, work denials, post payments and communicate with your practice. Where AI tools could help, they are used only if they fit your requirements; they are never a condition of working with us.

How engagements begin

  1. Client enquiry. Email us a few details about your practice: your specialty, payer mix, the systems you use and where you need help. Please do not send patient information or PHI by email.
  2. Requirements and scope discussion. We discuss your requirements and which billing and RCM services you need.
  3. Custom quote and agreed terms. We provide a custom quote based on your scope, and terms are mutually agreed.
  4. Client onboarding. Onboarding begins once terms are agreed. A Business Associate Agreement (BAA) is signed before any PHI-related work begins.

Getting started: onboarding

Configuring billing around your practice

During onboarding, we set up your billing workflows around your specialty, payer mix, systems and requirements, so the work reflects how your practice actually operates instead of a generic template. Learn more about our specialty experience.

Taking over from a previous biller

If you're switching from another billing company or an internal team, we coordinate reports, access and information about outstanding work with them where needed. We also inventory your old claims, denials, appeals and outstanding A/R and develop a work plan, assessing older claims against payer rules, filing limits and appeal rights rather than automatically writing them off. See A/R follow-up & legacy A/R.

Fee schedules

We update revised contracted fee schedules in the applicable systems.

New providers and locations

If your practice is adding providers or locations, our credentialing and enrollment support covers the applicable payer enrollment steps.

Workflows and procedures built for your practice

Every client's billing runs on practice-specific workflows configured around their payer mix, specialty, systems and requirements. That shapes how claims are prepared and reviewed, how A/R is prioritized, how denials are routed and how your practice wants to be kept informed.

Your team and communication

An assigned manager

Each client has an assigned manager who acts as the primary contact and coordinates communication with your practice.

Backup coverage and continuity

Backup arrangements support continuity when your assigned biller is unavailable.

A clear escalation path

Difficult or high-risk claims, payer issues and unresolved accounts can be escalated from the biller to a manager or senior team member, and to your practice's providers when their input is needed. Denials follow our denial management & appeals process.

Aligned to your time zone

Our work is aligned to your U.S. time zone and workflow requirements.

Quality review, KPIs and reporting

Internal quality review

Billing work goes through internal quality or supervisory review.

KPI tracking

We track the metrics that matter to your practice. Examples include collections, A/R aging, denial rate, first-submission payment performance and payment turnaround.

Reporting and reviews

Reporting can be set up daily, weekly, monthly, quarterly, half-yearly or yearly. The frequency is determined by your engagement. Reports and periodic performance reviews cover collections, submitted claims, A/R aging, denials, appeals and patient balances.

AI is optional

Managed medical billing and RCM can operate entirely without AI. If optional AI tools would help your workflows, they are used only where they fit your requirements.

Custom AI agents and workflow automation are a separate, separately scoped service, priced through custom quotations, and are never required for billing clients. Learn more about Custom AI Agents & Workflow Automation.

Protecting patient information

Our PHI safeguards include:

  • A Business Associate Agreement (BAA) signed before any PHI-related work begins.
  • Assigned access: team members can access only the clients and work assigned to them.
  • Multi-factor authentication.
  • Company-managed devices for our medical billing operations.
  • Client-approved secure communication channels.
  • HIPAA training at onboarding and every year.
  • Audit trails: activity and history trails are preserved and used where your billing or EHR system supports them.

Engagement and pricing

Pricing for our billing and RCM services depends on your scope and mutually agreed terms. Custom AI projects are priced through custom quotations based on requirements and agreed scope. Contract terms are agreed with each client.
